Tata Motors Helps Tata Projects Accelerate its Knowledge Management Journey

As part of its strategic initiative to build a robust Knowledge Management (KM) platform, Tata Projects Limited is actively exploring ways to capture, curate, and share knowledge across the organisation. The focus is on adopting best practices such as capturing lessons learned, documenting and sharing knowledge, leveraging KM platforms and AI tools, ensuring governance, integrating with ERP systems, promoting a knowledge-sharing culture, enabling training, and measuring impact through KPIs and ROI. This will help foster collaboration, innovation, and continuous improvement.

To support this journey, Tata Motors Limited facilitated a benchmarking session on August 7, 2025. Ankita Sharma, Deputy General Manager, Tata Motors, and Binay Agrawal, Senior Manager, Tata Motors, presented the company’s Knowledge Management (KM) Framework, built on four pillars: People, Process, Technology, and Content.

This framework focuses on capturing tacit and explicit knowledge, fostering collaboration, and aligning KM with business priorities. It was developed after an exhaustive benchmarking exercise with APQC, Tata Elxsi, Tata Steel, BOSCH and 3M. Key elements include a user-friendly interface, mentoring, governance mechanisms, workshops, and leveraging KM to solve business challenges. Scalability, inclusion of stakeholders, and embedding strategic learnings are central to driving innovation and operational excellence.

The team also shared details of three critical facets of Tata Motors’ KM initiatives:

Gyan Sangam portal: A central hub for knowledge sharing, collaboration, and innovation, the portal brings together business-focused knowledge assets, tracks horizontal deployment of best practices across geographies, hosts knowledge-sharing sessions and polls, and enables idea crowdsourcing for business challenges and innovation. With features such as a knowledge repository, project management, leaderboards, and a wall of fame, it promotes a culture of learning and recognition. The portal is being upgraded with AI/ML-enabled article generation, analytics, smart alerts, and dashboards at function and organisation levels, aimed at boosting engagement, accelerating knowledge reuse, and enhancing operational efficiency.

Knowledge Manthan sessions: A series designed around knowledge sharing, problem-solving, and innovation in priority themes, the sessions have been conducted around BIW, Engine, Branding, Industry 4.0, Failure Modes and Effects Analysis (FMEA) and sustainability. These bring together communities across geographies to share best practices, brainstorm solutions to industry challenges, and discuss real-world case studies related to process optimisation and environmental advantages.

Key Performance Indicators: Effectiveness is measured through indicators such as Knowledge Contribution Rate, User Engagement, Knowledge Growth Rate, and Knowledge Culture Index. Additional metrics include Horizontal Deployment, Problem Resolution through KM, and KM Process Improvement. Return on Investment (ROI) is also tracked to assess benefits from KM initiatives. These metrics ensure alignment with organisational goals, encourage continuous improvement, and drive measurable value.

This knowledge-sharing engagement marks an important step in Tata Projects’ journey toward building a future-ready KM ecosystem. The insights gained from Tata Motors will help strengthen internal processes, ensure proactive use of lessons learned, and embed a culture of continuous improvement.

Tata Projects aims to centralise project learnings on a single collaborative platform, enabling horizontal deployment of best practices, building a rich repository of curated knowledge, and providing actionable insights to support execution and decision-making.
